For education and immigration agencies

One record from first enquiry to census date.

Visatory runs the whole student journey — enquiries, counselling, shortlists, applications, offers, visas, departure and the commission that follows. Your counsellors stop rebuilding the same spreadsheet, and nothing falls between the inbox and the deadline.

No card required. Import your students on day one.

The pipeline

  1. 01

    Enquiry to counselling

Website forms, referrals and walk-ins land in one list with a follow-up date, so nobody goes cold in a shared inbox.

  2. 02

    Shortlist to application

Build a shortlist from your own catalogue, assemble the documents against a checklist, and submit when it is genuinely ready.

  3. 03

    Offer to visa

Offers, deposits and per-country visa milestones, each with an owner and a date. Deadlines surface before they pass.

  4. 04

    Departure to commission

Pre-departure, enrolment, then the commission — projected, held until census, invoiced, and split with the sub-agent.

Built for how an agency actually works.

Students and applications

One profile per student with guardians, documents, notes and every application. Counsellors stop keeping a private spreadsheet because the shared one is finally better.

Per-country visa tracks

The US, UK, Canada and Australia modelled as the different processes they are, editable when a government changes the rules.

Commissions that reconcile

Projected against a rate card, held until the census date passes, invoiced, then split with the sub-agent who sourced the student.

Sub-agents you can account for

Agreements, training dates and background checks tracked as rigorously as your own staff, because you answer for what they tell students.

An AI counsellor with a line it will not cross

Claude matches schools from your catalogue, rehearses the visa interview and explains the process to parents. It gives essay feedback. It will not write the essay.

Documents with a history

Where each file came from and who verified it, recorded on upload. Marking something verified is a separate act by a named person.

Finance and team

Student invoices, payments and a cashbook alongside staff records and training, so the office runs from one place.

Your website, your domain

Three templates with lead forms that land straight in the pipeline. Point your own domain at it and the certificate is handled.

eSIMs for departing students

Sell connectivity from prepaid credits and hand the student a QR code before they board.

Visas

Four countries, four different processes.

A US F-1 and a UK Student visa are not one process with different names. The I-20, the CAS, the provincial attestation letter and the CoE are separate steps that fail separately, so Visatory tracks them separately — with the owner of each step and the date it is due.

Rules change mid-intake. A case keeps the track it started on, so editing a country template changes what new students follow and leaves the ones already in flight exactly where they were.

Records

Your next review is a download.

Where a document came from and who checked it are recorded on upload. Signed agreements keep the version the student actually saw. Fee disclosures point at the schedule published that week. None of it is extra work — it is a by-product of the counselling your team already does.

Pick a date range and it becomes one pack, with a manifest listing what was included and what was missing.

Import a spreadsheet, add your partner institutions, and run one intake through. It takes an afternoon and tells you more than a demo would.
