A student asks which English test to take and the answer given in most offices is whichever one has a seat this month. It is an understandable answer and it is the wrong order of operations, because the test is not a formality that precedes the applications. It is one of the inputs that decides which applications exist.

Two things are being decided at once and they are frequently confused. Whether the institution will accept the test for admission, and whether the immigration route will accept it for the visa. Those are separate lists maintained by separate bodies, and they do not always agree.

Acceptance is two questions, not one.

An institution publishes what it accepts for entry, sometimes by faculty rather than for the whole institution, and sometimes with a different requirement for a pathway than for direct entry. Separately, the immigration authority publishes what it accepts, and for some routes it will only accept a test taken at an approved centre or under a specific version of the test.

The failure mode is a student who holds a score their university is delighted with and the visa route will not look at. It is an expensive failure because it is discovered late, usually after the offer, and the fix is another test sitting inside a calendar that has already been spent.

What to check before a booking is made.

• Which tests each institution on the shortlist accepts, at the level of the specific course.
• Whether the intended visa route restricts the test, the version of it, or the centre it is taken at.
• The minimum in each component, not only the overall score, since a single low component is the most common reason an otherwise sufficient result fails.
• How long the result stays valid, counted to the intake start rather than to the application date.
• Where the nearest centre actually is, and how far ahead its seats are booked.

Validity is counted at the wrong end.

Most agencies check that a score is valid today. The date that matters is usually further out: the start of the course, or the date the visa is decided. A result that expires between the offer and the arrival is a result that will have to be retaken at the worst possible moment.

Write the expiry into the file as a date, next to the other expiries, and check it when the intake is planned rather than when the application is prepared.

Planning the retake before the first attempt.

Assume a retake may be needed, and find out now rather than later what that would cost in weeks. Some tests can be re-sat within days, others have a minimum gap. Some release results in a few days, others take longer. Some allow a single component to be re-sat, which turns a four-week problem into a one-week one, and this varies by test and by country.

A student who knows in advance that the second attempt is bookable for a particular date treats the first attempt differently, and the office has a plan instead of a surprise.

Preparation is advice, not a product.

There is a line worth holding here. Helping a student understand the format, the timing and what a component is testing is part of the job. Selling preparation of uncertain quality alongside the application, or implying a score can be guaranteed, is not, and the second one turns a service question into a complaint that is difficult to answer.

If the agency does offer preparation, price it separately, describe it plainly, and keep it clear that the test result is the student's and cannot be promised by anybody.

Where this belongs in the process.

Before the shortlist is finalised, not after. The test decides which institutions can be applied to, which routes stay open, and how many weeks the case needs. Deciding it last means building a shortlist on an assumption and then discovering which parts of it were never available.
